Everything a set of books needs.

Proper double-entry accounting, connected to where your money actually moves.

A real general ledger

Every invoice, bill, payment and bank line posts balanced journal entries to your chart of accounts. Nothing is a spreadsheet underneath.

Bank feeds and statements

Olympus accounts sync on their own. Statements from any other bank import from CSV or Excel.

Invoices, quotes and bills

Quotes customers accept online, invoices with payment links, and bills that go through approval before they are paid.

Botswana VAT

VAT returns under the VAT Act 2026, transfer duty and withholding tax, on invoice or cash basis.

Reports you can trace

Profit and loss, balance sheet and cash flow, with every figure opening to the transactions behind it.

Athena

Ask about your numbers in plain language. Athena reads receipts and proposes entries you approve.

Bank lines arrive. Most of them sort themselves.

Each bank line is matched to an open invoice or bill, caught by a rule, or given a suggested account by Athena. You confirm in bulk and keep moving. When you edit a suggestion, Arubis learns the rule for next time.

  • Olympus accounts sync automatically; other banks by statement upload with column mapping
  • Match one payment to several invoices, or several lines to one bill
  • Reconcile to the statement balance, with a reconciliation report you can reopen

Invoices that collect. Bills that wait for approval.

Send a quote, let the customer accept it online and turn it into an invoice. Invoices can carry an Olympus payment link, so a paid invoice closes without anyone matching it. On the other side, bills need an approver who is not the person who entered them, and a payment run pays several at once.

  • Recurring invoices, credit notes and automatic overdue reminders
  • Receipts and supplier bills read by Athena and booked for you
  • Duplicate bills held before anyone pays them twice

Intelligence that does the routine work, and asks first.

Athena answers questions about your books from the ledger itself, reads the receipts and bills you upload, and suggests rules, matches and entries. Autopilot runs every 15 minutes to match payments and hold duplicates. Anything that changes your books is a proposal until you approve it.

  • Questions answered from your own ledger, with the figures shown
  • Receipt and bill reading, VAT included
  • Proposals you approve or dismiss, never silent changes

Built for Botswana tax from the start.

Tax codes carry effective dates, so a rate change applies from the day the law says and older periods stay as they were filed. The VAT return for any period is worked out from the ledger, with each box opening to the transactions behind it.

  • VAT Act 2026 returns, on invoice or cash basis
  • Transfer duty and withholding tax codes
  • Recoverable and non-recoverable input tax
  • Lock dates so a filed period cannot change

Statements your accountant will recognise.

Arubis produces the full set of financial statements, side by side across months, quarters or years, and on accrual or cash basis. If you run more than one company, consolidate them in one report.

  • Profit and loss, balance sheet and statement of cash flows
  • Trial balance, general ledger and journal report
  • Receivables and payables ageing, budget against actual
  • Every table and report exports to Excel or CSV

Clear enough for the owner. Complete enough for the accountant.

Invite your accountant or auditor with their own role. They work in the same ledger as you, with journals, reversals, recurring entries, tracking dimensions and year-end close, and every change they make is recorded against their name.

  1. Invite them by email

Pick the External accountant or Auditor role. The invitation link expires, and you can revoke it.

  2. They work in your books

No exports back and forth. Adjustments post to the same ledger your reports read from.

  3. You close the period

Set a lock date once the period is reviewed, and the figures stay as they were reported.

Bring your books with you.

Export from your previous accounting software and upload the files. Arubis recognises the layout, so there is no format to choose.

Accounting records, held like bank records.

Checked at the database

Every write to the ledger goes through a function that checks your role first. Row-level security keeps each company’s books separate.

Nothing changes quietly

Postings are balanced or refused. Corrections are reversals, and the audit log records who did what and when.

Your data, your rights

Policies written for the Botswana Data Protection Act 2024. Export your books, or ask for your personal data, at any time.

Questions about Arubis

What is Arubis?
Arubis is double-entry accounting software made by Olympus. It keeps your ledger, invoices, bills, bank reconciliations, VAT and financial statements in one place, and it reads transactions from your Olympus accounts as they happen.
Do I need an Olympus bank account to use it?
No. You can import statements from any bank as CSV or Excel files. If you bank with Olympus, those accounts sync on their own and invoices can carry an Olympus payment link.
What does it cost?
The Free plan stays free. Premium is free until 1 December 2026. After that it is USD 19 a month for each set of books, or you can stay on Free. No card is needed to start. The billing terms have the detail.
Can I move my books from my current accounting software?
Yes. Export your data as CSV or Excel and upload it. Arubis works out the file layout and imports contacts, products, invoices and bills, journals, the chart of accounts, fixed assets, budgets and opening balances.
Does Arubis file my VAT return with BURS?
Not yet. Arubis prepares the return for the period under the VAT Act 2026, shows every transaction behind each figure, and exports it for filing. You submit it to BURS yourself, or your accountant does.
Does it run payroll?
Arubis records payroll runs, posts them to the ledger and matches them to the payday bank lines. It does not calculate PAYE or other statutory deductions, so bring those figures from your payroll provider or calculation.
Can my accountant work in my books?
Yes. Invite them by email with the External accountant or Auditor role. You choose what each person can see and do, and every change is written to an audit log that cannot be edited.
Who owns the data?
Your business does. You can export everything as a ZIP of CSV files at any time. Botswana requires accounting records to be kept for seven years, so keep your export if you close your books.

Open your books in Arubis.

Create an account, add your company and import a statement. It takes a few minutes.
