Electronic communications and signatures.

Olympus works online. This agreement explains how we send you documents and notices electronically, how you sign with us electronically, and your right to ask for paper or to withdraw.

2. What this covers

This agreement applies to everything connected with your relationship with Olympus for as long as you have an account or use a product, including:

  • account opening documents, terms and conditions, card terms, merchant agreements and any changes to them
  • statements, invoices, receipts, confirmations and fee notices
  • privacy notices, regulatory and legal disclosures, and notices about your account, security, limits or verification
  • requests for information and documents, and our replies to complaints and support cases
  • anything you sign or accept in the Olympus app, web banking, the merchant platform or the developer portal

It applies in addition to the terms for the product you use. If a specific product requires a document to be delivered in a particular way by law, we will follow that requirement.

3. How we deliver documents

We deliver electronic communications in any of these ways, and may use more than one:

  • by posting them in Olympus web banking, the mobile app or the merchant platform, and telling you they are there
  • by email to the address on your profile, either in the message or as a link or PDF attachment
  • by push notification, SMS or WhatsApp to the number on your profile, where the message says a document is available
  • by displaying them on our website, where the law allows

A communication is treated as received when we make it available to you or send it, even if you do not open it. Read your notices promptly. Some are time-sensitive.

4. Electronic signatures

When you tick a box, select a button such as "Accept" or "Confirm", type your name, draw a signature, enter a code, or approve a request in the Olympus app, you are signing electronically. Your electronic signature has the same effect as a handwritten one.

We keep a record of what you accepted, the version, and when. Approving a payment or an action in the app is a separate, deliberate step and is never done for you by an assistant, a voice call or a chat.

These terms are intended to satisfy the laws that recognise electronic records and signatures where you live, including the laws of Botswana, the Electronic Communications Act 2000 and the UK eIDAS Regulation for customers in the United Kingdom, and, for customers of a US account, the US Electronic Signatures in Global and National Commerce Act and the Uniform Electronic Transactions Act, as each applies.

5. What you need

To receive and keep electronic communications you need:

  • a computer, phone or tablet with a current, supported version of a mainstream web browser (Chrome, Safari, Edge or Firefox) or the Olympus app
  • an internet connection
  • an email address you can access, and a mobile number that can receive messages
  • software that opens and saves PDF files
  • enough storage, or a printer, to keep a copy of what we send you

You can save or print any document from your device. We will tell you if these requirements change in a way that could stop you reading our documents, and you can then withdraw your consent without any charge.

6. Keep your contact details up to date

You must keep your email address and phone number current in your profile settings, or by writing to support@olympuspay.co. If a message to you bounces, or we cannot reach you, we may send documents another way, but we are not responsible for a delay or a loss that results from contact details you have not kept up to date.

7. Paper copies

You can ask for a paper copy of any document we have sent you electronically by writing to support@olympuspay.co or calling +267 391 3289. We may charge a reasonable fee for paper copies, which we will tell you about first, unless the law says we cannot. Asking for a paper copy does not withdraw your consent.

8. Electronic and paper are equal

Where the law or an agreement with you requires a document to be in writing, in a particular form, or signed, an electronic document or signature that follows this agreement satisfies that requirement. An electronic record is a valid record even if it exists only electronically.

9. Withdrawing your consent

You may withdraw your consent to receive documents electronically at any time by writing to support@olympuspay.co. Withdrawal takes effect once we have processed it and does not affect anything you have already received, signed or accepted.

Olympus is an online provider. If you withdraw, we may not be able to keep providing some or all of our services, and we may close your account or products after giving you the notice the law and your agreement require. We will explain the effect before we act.

10. Changes to this agreement

We may update this agreement, for example if the way we deliver documents changes. We will give you notice electronically before a material change takes effect. Continuing to use Olympus after the change means you accept it. Earlier versions are available on request.
